1How to apply for the transfer

1Request a transfer from Action SHSThe parent or guardian writes to the Headmistress requesting a transfer, and lodges the letter with the School Secretary. State the student’s name, present school, current year group and the programme applied for.
2The school issues an Assurance LetterOnce a place is available, Action SHS issues an Assurance Letter confirming the student will be accepted. This letter is what starts the official process.
3Obtain a Release Letter from the present schoolThe parent writes to the head of the student’s current school for a Release Letter. Both letters travel together.
4Submit the letters to the Ghana Education Service officeThe parent submits the Assurance Letter, together with the Release Letter, to the Ghana Education Service office.
5GES forwards the application for approvalIt passes from the Municipal Director to the Regional Director, then to the Director-General of the Ghana Education Service — the only officer who can approve a student transfer.
6Report to Action SHS with the approval letterOnce the approval letter is issued, the student reports to Action SHS and completes enrolment. The school then issues the fee schedule and the boarding house prospectus.

2Who may transfer

Straightforward

Students completing Year 1 (SHS 1) and moving into Year 2 (SHS 2). This is the normal transfer window, and the application is considered on its merits in the usual way.

Possible, but not easy

Students completing Year 2 (SHS 2) and moving into Year 3 (SHS 3). A transfer at this stage is possible, but it is not straightforward: published Ghana Education Service guidance treats the final year as outside the normal transfer window, so approval rests on the Director-General accepting an exceptional case. Expect it to take longer, and do not count on it succeeding.

Not available

Newly admitted Year 1 students who have only just been placed.

A move to a school that does not offer the same elective programme the student is studying.

Important — read before moving the student

The student must remain at the present school until the Director-General’s approval letter is issued. An Assurance Letter alone is not permission to leave, and a student withdrawn early can end up enrolled at neither school.

Approval is never automatic. Only applications supported by a compelling, documented reason are approved, and a final-year application needs a stronger reason than a first-year one.

A student in Year 3 is already tied to the present school for WASSCE. The examination registration and the school-based assessment record are held there, and moving late in the course puts both at risk. Ask the present school what has already been submitted before deciding.

3What makes an application succeed

A compelling reason, in writing — relocation of the family, medical grounds, or a documented welfare concern. “A better school” is not a reason GES accepts.

Complete paperwork. A missing Release Letter stops the application before it reaches the Regional Director.

Early submission. The transfer window sits at the end of the academic year, so an application started after the new term has begun has little chance.

The same elective programme at both schools, so the student’s subjects carry across without loss.

4Documents to bring

The student’s last terminal report and continuous assessment records
Birth certificate and an activated NHIS card
Four passport photographs

Please note: The fee schedule and the boarding house requirements are issued once the Director-General’s approval has been granted and a place is confirmed. Action Senior High & Technical School participates in the Free Senior High School programme, and the school will confirm what is payable in the student’s particular case before any payment is made.
